Managing availability
How to set and manage your space availability calendar.
The availability calendar lets producers see when your spaces are open for booking. Keeping it up to date helps you receive relevant proposals.
How availability works
Dates are opt-in: by default, all dates are unmarked and producers cannot submit proposals for them. You must explicitly mark dates as available before they appear on your public venue page.
If a space has no dates configured, you will see a prompt reminding you to set up availability.
Availability statuses
Each date for each space can have one of four statuses:
- Available (green) — the space is open for proposals on this date.
- Tentative (yellow) — a proposal has been accepted but the booking is not yet confirmed. Set automatically by the contract lifecycle.
- Booked (red) — the space is confirmed for an event. This can be set automatically by a Promise Tickets contract, or manually by you for external bookings.
- Unmarked — no status set. Producers cannot book this date.
Managing availability from the dashboard
Each space on your venue management page has a Calendar link. Click it to open the availability calendar for that space.
Click dates (default mode)
Click any future date to toggle it:
- Unmarked date → click to mark as available (turns green).
- Available date → click to remove availability (turns back to unmarked).
- Tentative or booked dates cannot be changed by clicking — see below for clearing booked dates.
Add range
Switch to the Add range tab to update multiple dates at once:
- Click a start date on the calendar.
- Click an end date on the calendar.
- Choose an action:
- Mark available — opens the range for producer proposals.
- Mark booked — blocks the range as booked (useful for external bookings outside Promise Tickets).
- Clear dates — removes all availability data for the range, returning dates to unmarked.
Recurring pattern
Switch to the Recurring tab to set a weekly pattern:
- Pick a start date and end date using the date fields.
- Select which days of the week to repeat (e.g., Friday and Saturday).
- Click Add recurring dates to mark all matching dates as available.
This is useful for venues with regular schedules — for example, marking every Friday and Saturday as available for the next three months.
External bookings
If you use other booking systems alongside Promise Tickets, use Mark booked to block dates that are booked externally. These dates appear as booked (red) on the calendar and are hidden from producers, just like platform bookings.
You can clear manually-booked dates at any time using Clear dates. Dates booked through Promise Tickets contracts cannot be cleared — they are managed by the contract lifecycle.
When a contract moves to "tentative" or "booked" status, the corresponding dates are automatically updated. You only need to manually manage available dates and external bookings.
Public visibility
On your public venue page, producers can see a monthly calendar view showing which dates are available. Tentative dates appear as "pending" and booked dates appear as unavailable.
